TERMS OF SERVICE

Be Vida, LLC lists what is included in/on the trip’s registration page.  Airfare, tips, travel insurance, alcohol is rarely included.

Reservation: To reserve your Retreat slot, please complete the online purchase process, and submit the non-refundable deposit specific to your trip.

Payment: Payment can be made by check, Venmo, or Square. Final balances are due 45 days before the departure date of the trip. If final payments are not received by 45 days prior to departure, Be Vida reserves the right to cancel your reservation and accept new reservations for your space. If you do not think you can pay in time please contact us via email.

Cancellation policy: All retreats include a non-refundable / non-transferable deposit, which is required to hold your spot on the trip. Cancellations made 120 days or more in advance of the departure date participant will receive a 100% refund. Cancellations made within 90 days will receive a 50% refund. Cancellations made within 60 will not receive a refund. All terms exclude security deposit and 15% service fees. Be Vida cannot make exceptions to its cancellation policy as costs are incurred prior to the Retreat Start Date. 

Changes/Trip Cancellations: Be Vida reserves the right to make any changes deemed necessary by our team or partners. Be Vida is not responsible for any expenses or damages incurred as a result of trip cancellation including registration fees, preparation costs, airline tickets, travel documents or other expenses. Be Vida reserves the right to cancel any trip prior to departure in the event that there are too few people booked. Only in this scenario will Be Vida provide a transfer or refund option of any and all payments made to Be Vida. You will not be entitled to claim any additional amounts or seek any compensation for any injury, loss, expenses or damage (either direct or consequential) or for any loss of time or inconvenience which may result from such cancellation (including but not limited to visa, passport and vaccination charges, or departure, gear purchases, airport and airline taxes).

INSURANCE & DOCUMENTS

Travel Insurance: Be Vida, highly recommends each trip member to purchase individual travel insurance for their trip. We suggest that you include “cancel for any reason” with your policy.  Purchasing travel insurance that includes medical coverage is encouraged. We recommend you purchase insurance within 1-2 weeks after making your first trip payment (ie. flight or retreat reservation) to secure the best price and best coverage.

Travel Documents and Immunizations: It is the responsibility of each traveler to obtain all required travel documents including Visas and other travel documents unless otherwise noted. Information regarding necessary documentation is provided per trip on the registration page, or you can contact us for more detailed information regarding your trip requirements. It is your responsibility to purchase correct immunizations.  Please contact your nearest travel clinic for the latest requirements.

ACKNOWLEDGEMENT

Acknowledgment of Risks – Assumption of Responsibility

Although Be Vida has taken reasonable steps to ensure safety, I acknowledge that this activity has risks, including certain risks which cannot be eliminated without destroying the unique character of this activity. The same elements that contribute to the unique character of this activity can cause loss or damage to the Participant including accidental injury, illness or in extreme cases, permanent trauma, disability or death and also can cause damage to or loss of property. The following describes some, but not all, of those risks.

Activities vary from trip to trip and may include but are not limited to: hiking, backpacking and climbing in a wide variety of environments including on rock and water; bicycling on trails and roads with a wide range of surface conditions and traffic volume; rock climbing, climbing on climbing apparatus and ropes courses, using zip-wires and rope swings; white-water rafting; swimming, snorkeling and surfing; fishing.

Be Vida trips can involve travel to remote places, oftentimes many hours from medical facilities. Transportation, evacuations and medical care can be significantly delayed; communication can be delayed, limited or not available.

Environmental risks and hazards include rapidly moving, deep or cold water; insects, snakes and predators, including large animals; falling and rolling rock; lightning, flash floods and unpredictable forces of nature, including weather which may change to extreme conditions without warning. Possible injuries and illnesses include high altitude illnesses, sunburn, heatstroke, dehydration and other mild or serious conditions.

Throughout the trip, retreat leaders and participants are responsible for their own safety.

By registering for a Be Vida trip, purchaser acknowledges and understands that Be Vida trips include risks of injury or death to participants. I understand the description above of these risks is not complete and that other unknown or unanticipated risks may result in property loss, injury or death. I agree to assume responsibility for the inherent risks identified herein and those inherent risks not specifically identified. I acknowledge that participation in this activity is purely voluntary, no one is forcing participation and participation is elected with full knowledge of the inherent risks.

The registrant assumes and accepts full responsibility for any injury, death, loss of personal property, and expenses suffered as a result of those inherent risks and dangers identified above, and those inherent risks and dangers not specifically identified and as a result of my negligence in participating in this activity.

Safety Protocols

We are work diligently with all of our partners to establish clear and proper protocols in response to COVID-19.

Requirements to Enter Costa Rica:

Country entry requirements: Entry to Costa Rica is allowed for tourists from all countries.
Each visitor must comply with the migratory processes established in the General Law of Migration and Immigration.
Starting April 1, the temporary migration measures established in the framework of the national health emergency due to COVID-19 are repealed.
During their stay in Costa Rica, tourists must follow the health protocols established by private companies in order to participle in any tourist activity.

*Important update (April 1-2022)*
Starting April 1, the temporary immigration measures for entering Costa Rica – put in place due to the COVID-19 pandemic – are repealed. This eliminates the requirement to complete the epidemiological form known as the Health Pass and the requirement of medical insurance for unvaccinated foreigners.

  • All commercial establishments, activities, and events can operate at 100% capacity.

  • Although the use of a mask is not mandatory, it is recommended to maintain the protocol of hand washing and temperature taking, as well as compliance with health protocols in each tourist activity.
